Setting Up & Managing Your SmartTab App
Everything you need to run your venue’s SmartTab App — set your hours, build your menu, brand your QR code, and start
taking paid online orders that flow straight to your POS and kitchen. Payment (and the tip) is collected up front, every time.
1. Getting into your app
Select your venue, then open the SmartTab App. This is your home base — from here you can see all of your venue’s
information and reach every setting below. Any change you make here is what your customers see in their online menu.
2. Setting your hours
Your hours control when customers can place and pick up orders. There are a few sets, and they don’t all have to match
your front-door hours:
Open & close hours — set these to exactly the hours you want.
“Here” hours — when dine-in / order-for-here is available.
To-go hours — when customers can place to-go orders.
Pickup hours — when orders are available to be picked up.
Think of these as availability windows. You probably don’t want to take to-go orders at 2 a.m., so cap them where it makes
sense for your kitchen.
Tip: Keep your order hours close to your open hours — or add a short buffer. For example, stop accepting to-go
orders at 12:30 so the kitchen isn’t slammed right at close.
3. Pausing online orders
Setting Up & Managing Your SmartTab App
Getting slammed on a Friday and don’t want app orders coming in? Use the Close option to temporarily stop taking orders
through the app. The preview on the right shows customers a “closed” message for those days, and you can reopen with a
single click whenever you’re ready.
Close for the rest of the day, close for the weekend, or leave everything open and manage orders as they come — it’s
entirely your call.
4. How an order flows
When a customer orders through the app, here’s what happens automatically:
Payment is collected up front — the moment they check out, including the tip.
The order is sent to your POS.
It routes to the kitchen, ready for your team to make.
Because payment is captured at checkout, you never have to chase down money for an app order.
5. Building your menu
The Menu page controls which categories appear in your app. Use the drop-down to pick a category — food, alcohol,
merch, whatever you carry — and select + to add it. It lands in your Unpublished list.
You’ll see two lists: Published (live in the app) and Unpublished (hidden). To make a category visible, just drag it up into
Published. To hide one — say you don’t want breakfast or merch showing — drag it down into Unpublished.
Tip: Selling alcohol to-go? You can offer it in the app and verify ID when the customer comes in to pick up.
6. Updating menu items
Add or change a menu item and you’ll want the app to reflect it. The drag-and-drop doubles as a save/refresh.

Important — refresh after edits: After editing a menu item, go back to the Menu, unpublish that category and
then republish it (drag it down, then back up). That pushes the update live so the new item appears in the app.
7. Order settings & fees
A few controls fine-tune how orders behave:
Order types — turn for-here and to-go on or off. Deselect one and it won’t be offered in the app.
To-go packaging fee — optionally pass utensil/bagging costs to the customer by charging a set amount; it shows on
their checkout.
Minimum food prep time — gives the kitchen enough time to receive, prep, and finish an order. 30 minutes is a
good default.
Pickup intervals — a buffer (e.g. 30 minutes from when the order is placed) so customers get a realistic ready time.
Product quantity labels — adjustable; most useful for events and ticketing.
8. Branding your QR code
The QR code is how customers reach your online menu — and you can make it yours. Customize the colors and gradient,
change the shape of the “eyes” (the corner markers), and upload your logo (a JPEG) to sit in the center.
When it looks right, use Export to PDF or Print in the lower-right to produce table tents or signage sized however you
need. Remember to save your changes.
Important — keep it scannable: Very light colors or a busy logo can stop a phone camera from reading the code.
Avoid pale colors that wash out against a white background, and check that it still scans after customizing.
9. Previewing the customer view
Setting Up & Managing Your SmartTab App
Before you go live, preview your online menu exactly as customers see it — in both a web browser and the mobile layout.
Your published categories, item modifiers (like “grilled” or a side of tots), and item photos all appear here.
The image you attach to a menu item is the image customers see in the app, so it’s worth getting those right. Add items to
the cart and walk through checkout yourself to confirm everything looks the way you want.
10. Checkout & payments
At checkout, scanning the QR code populates the customer’s details — phone, email, and name. To complete an order,
they must have a card on file.
They pay and tip up front, so you receive payment immediately — no worrying about uncollected orders. On the left-hand
side of the Payments settings, leave the default payment configuration as is.
11. Tip suggestions
Under Payments, you can set the suggested tip percentages. The standard default is 20% / 22% / 25%. Adjust them
however you like — just be sure to hit Save so the change takes effect.
Beyond the basics
Feedback & reviews — the Feedback page collects data tied specifically to your app, much like a sales report. You’ll receive
customer ratings and reviews and see collected customer information, all in one place.
Social feed — the Feed lets you connect your Facebook page directly; just enter your login details to link it.
Ticketing for events — hosting a concert or event? Activate ticketing to create your own tickets, set how many are
available, and sell them through the app via your QR code. Customers pull the ticket up in their SmartTab App at the venue
and redeem it there — in-house ticketing that cuts out the middleman. Ticketing availability can depend on your plan;
check with your SmartTab contact to enable it.
